What is included in the Initial Capture Help Package?
The Initial Capture Help Package includes the following:
  • Initial configuration of your Scout Group (Has Meerkats, Has Cubs, Has Scouts, Has Rovers, Multi Den, Multi Pack, Multi Troop, Meerkat Burrows, Cub Sixes, Scout Patrols if you provide this information)
  • Initial Financial Set Up of your Scout Group on Scouts.Digital (Family Accounts, Financial Years, Billing Amounts if you provide this information)
  • Initial Capture of all Adult Leaders in your Scout Group (Includes Warrant info if you provide this information)
  • Initial Capture of all Parents in your Scout Group (If you provide this information)
  • Initial Capture of all Meerkats in your Scout Group (If you Group is configured with Meerkats AND If you provide this information)
    • Includes Initial Meerkat Advancement Badge Awards and Badge Awards (If you include this information)
    • If you do not include this information, the Meerkat will be marked as Invested (Membership) on the date of Initial Capture
  • Initial Capture of all Cubs in your Scout Group (If you Group is configured with Cubs AND If you provide this information)
    • Includes Initial Cub Advancement Badge Awards and Badge Awards (If you include this information)
    • If you do not include this information, the Cub will be marked as Invested (Membership) on the date of Initial Capture
  • Initial Capture of all Scouts in your Scout Group (If you Group is configured with Scouts AND If you provide this information)
    • Includes Initial Scout Advancement Badge Awards and Badge Awards (If you include this information)
    • If you do not include this information, the Scout will be marked as Invested (Membership) on the date of Initial Capture
  • Initial Capture of all Rovers in your Scout Group (If you Group is configured with Rovers AND If you provide this information)
    • Includes Initial Rover Advancement Badge Awards and Awards (If you include this information)
    • If you do not include this information, the Rover will be marked as Invested (Membership) on the date of Initial Capture
What is the ABSOLUTE MINIMUM amount of information required in the Initial Capture?
The ABSOLUTE MINIMUM amount of information required of the Initial Capture is as follows:
  • Adult Leaders
    • First Name, Surname, ID Number, Cell Number, Role, Email address is good to have, but not required
    • Please note that if you do not provide us with an email address for an Adult Leader, we can still capture them, however, they will never be able to logon to Scouts.Digital
  • Parents
    • First Name, Surname, Cell Number, Email address
  • Meerkats (If your Group has Meerkats)
    • First Name, Surname, Date of Birth
  • Cubs (If your Group has Cubs)
    • First Name, Surname, Date of Birth
  • Scouts (If your Group has Scouts)
    • First Name, Surname, Date of Birth
  • Rovers (If your Group has Rovers)
    • First Name, Surname, Date of Birth
Please note, if you do not provide Youth Advancement information in your Initial Capture spreadsheet, we will automatically advance each Youth Member to the Membership level (Invested) on the date that we capture your Youth Members
What is NOT included in the Initial Capture Help Package?
The Initial Capture Help Package only includes a once off capture of Members details. No ongoing management services will be provided if you have purchased the Initial Capture Help Package. If you require a monthly management service, please purchase a Basic Management Help Package or a Full Monty Help Package.
Why should I purchase the Initial Capture Help Package?
If you need assistance with the initial setup or initial capture of Adult Leaders, Parents or Youth Members in your Scout Group, you should purchase this Help Package.
When you purchase the Initial Capture Help Package for your Scout Group, Scouts.Digital will configure your Scout Group and initially add all your Adult Leaders, Parents and Youth Members to your Scouts Group on Scouts.Digital.
How long does it take Scouts.Digital to capture my information if I purchase the Initial Capture Help Package for my Group?
From the time we receive your completed spreadsheet via email, it takes 2 full working days to capture the details on your Group on Scouts.Digital. If you have less than 40 people to capture, it will be a little quicker, but if you have more than 80 people to capture, it might take a little longer. The best we have done is 130 people captured, with full Financial setup in 3 days.
What happens if we pay for 100 people for the Initial Capture Help Package, but only have 50 people to capture at first?
Scouts.Digital will capture Adult Leaders, Parents and Youth Members for your Group up to the limit of the number of people you have purchased the Help Package for.
So this means that you can send us your spreadsheet multiple times and we will capture additional Members up to the limit of the number of people in your initial purchase.
Please note that we will not update Members that we have already captured.
What happens if we pay for 50 people for the Initial Capture Help Package, but the spreadsheet we send you has 100 people to capture at first?
Scouts.Digital will capture Adult Leaders, Parents and Youth Members for your Group up to the limit of the number of people you have purchased the Help Package for.
So this means that, if you want Scouts.Digital to capture the additional people, you will need to purchase an additional Initial Capture Help Package for the additional 50 people.
We do allow for a small leeway here (We understand that things change rapidly), so if you are 2 or 3 people short, we will simply capture them.
However, if you are more than 5 people short, we will require that you purchase an additional Initial Capture Help Package for the additional number.
Can I purchase an Initial Capture Help Package for more than one Group at a time? (Or several Groups in my District or all Groups in my Region => the options are endless)
Yes, you can purchase an Initial Capture Help Package for more than one Scout Group at a time.
Simply include the total number of people you would like us to capture in your purchase.
We will be in touch with you to determine which Scout Groups you have purchased this Help Package for.
What is included in the Basic Management Help Package?
The Basic Management Help Package only includes updates (Twice a month) for Advancement Badges Awarded and Badges Awarded for Meerkats, Cubs, Scouts or Rovers already captured in your Scout Group.
We include capturing any additional Adult Leaders, Parents or Youth Members that come along during the period of your package, but initial capture is not included.
If you need us to do this for you, please purchase an Initial Capture Help Package.
What is NOT included in the Basic Management Help Package?
The Basic Management Help Package only includes updates (Twice a month) for Advancement Badges Awarded and Badges Awarded for Youth Members already captured in your Scout Group.
Initial Capture of Adult Leaders, Parents or Youth Members must have already happened on Scouts.Digital.
If you would like Scouts.Digital to capture this initial information for you, please purchase a Initial Capture Help Package at the same time that you purchase a Basic Management Help Package.
However, we will capture additional Adult Leaders, Parents and Youth Members as and when they come along, after your initial spreadsheet has been sent back to us.
Why should I purchase the Basic Management Help Package?
If you want Scouts.Digital to manage the basic administrative tasks in your Scout Group like Members, Advancement Badges awarded, Badges awarded and any new Members that come along during the timing of the Basic Management Help Package, then purchasing this Help Package will allow you to concentrate on the Scouting Side of things and move the administrative function to professionals who can do this quickly and efficiently.
How long does it take Scouts.Digital to update my information if I purchase the Basic Management Help Package for my Group?
From the time we receive your completed spreadsheet via email, it takes 2 full working days to update the details your provided. If you have less than 40 people to update, it will be a little quicker, but if you have more than 80 people to update, it might take a little longer.
Can I purchase a Basic Management Help Package for more than one Group at a time?
No you cannot. As each Basic Management Help Package is priced per Group, you cannot purchase more than one Basic Management Help Package at a time.
However, if you want to purchase the Basic Management Help Package for more than one Group, simply come back and purchase an additional Basic Management Help Package.
Remember, we will be in touch with you once you have purchased the Help Package to find out which Scout Group you have purchased the package for.

What is NOT included in the Full Monty Help Package?
We will not apply for Warrants, apply for Awards or apply for Charges for any members of your Scouts Group.
However, we will capture these elements when you sent them to us in your spreadsheet.
Why should I purchase the Full Monty Help Package>?
If you want Scouts.Digital to manage ABSOLUTELY EVERY administrative tasks in your Scout Group like Initial Capture of Adult Leaders, Parents and Youth Members, Advancement Tasks & Badges awarded, Badge Tasks & Badges awarded, Attendance at Programs and Events, generate Annual Invoices and book Members on Training during the duration of the Full Monty Help Package, then purchasing this Help Package will allow you to concentrate on the Scouting Side of things and move the administrative function to professionals who can do this quickly and efficiently.
How long does it take Scouts.Digital to update my information if I purchase the Full Monty Help Package for my Group?

Can I purchase a Full Monty Help Package for more than one Group at a time?
No you cannot. As each Full Monty Help Package is priced per Group, you cannot purchase more than one Full Monty Help Package at a time.
However, if you want to purchase the Full Monty Help Package for more than one Group, simply come back and purchase an additional Full Monty Help Package.
Remember, we will be in touch with you once you have purchased the Help Package to find out which Scout Group you have purchased the package for.
How long does the Full Monty Help Package last for?
Each Full Monty Help Package lasts for 12 months from the date that you purchase it (Last day of the next month in the next year is used)
Does my Scout Group have to purchase a Help Package?
ABSOLUTELY NOT. Your Scout Group does not have to purchase any Help Packages in order to use Scouts.Digital. Scouts.Digital is, and always will be, free to use.
Purchasing a Help Package from us simply allows you to focus on the Scouting aspect of Scouts and allows us to provide professional, administrative services to your Scout Group (Based on the type of Help Package you choose for your Scout Group).
Can I purchase a Help Package and Pay by EFT?
Yes, you can. Simply select the InstantEFT option when you are purchasing a Help Package.
Do I have to use a Credit Card?
No, you do not have to use a Credit Card. PayFast (our online payment provider) has multiple payment options available. Simply select the one that best suits you when you are purchasing a Help Package.
What happens when I purchase a Help Package?
Once you have purchased a Help Package, you will receive an email from Scouts.Digital (To the email address you provided when you purchased the Help Package), detailing what information is required back from you.
We will be in touch with you (again, via the email address you provided) to determine which Scout Group you purchased this service for.
Once we have the Scout Group name back from you, we will generate an electronic fully paid up invoice and a pre-configured spreadsheet for the Help Package you purchased. These items will be emailed to the email address you provided when you purchased the service.
It's now over to you to populate the spreadsheet we send you and email it back to us so we can do the work required of the Help Package that you purchased.
Why should I purchase a Help Package?
Help Packages are designed to do what the name says. Help Scouts Groups get their information on Scouts.Digital (Initial Capture Help Package) and manage this information on Scouts.Digital (Basic Management & Full Monty Help Packages).
If you would like the professionals to do this for your Scout Group, efficiently, accurately and quickly, then it's a good idea to purchase a Help Package for Your Scout Group.
If you dont have the time, inclination or don't want to learn how to do this on Scouts.Digital, we are here to help you.
If you need our help in sorting out the administrative side of Scouting for your Scout Group, simply purchase a Help Package that suites your unique requirements.
Why are you offering these Help Packages if we can do this ourselves?
We have found that, while Scout Groups are really good at doing the Scouting things, most are not great at managing the administrative side of Scouting.
Offering these Help Packages to these Scout Groups allows the Groups to focus on doing what they are good at and leaves the admin side of Scouting to professionals who can do the admin tasks quickly and accurately.
Purchasing one of these Help Packages allows you to focus doing on what you are good at.
Please understand that you do not need to purchase one of the Help Packages to use Scouts.Digital. You can do all the administrative tasks offered in the Help Packages yourself on Scouts.Digital.
However, if you need help with the administrative side of Scouting, we can do this for you. Simply purchase a Help Package that suits your Scout Groups unique needs.
Why offer 2 Management Help Packages?
Two management Help Packages are offered for a very simple reason:
  • The Basic Management Help Package (For those Groups that only want minimal administrative assistance)
    • Provides administration of the absolute minimum requirements of your Scout Group on Scouts.Digital
    • This is for Scout Groups that only need minimal administrative assistance and are either going to execute the other tasks themselves or are not bothered in providing full information
    • This is the most cost effective management option, providing the absolute minimum amount of information required by SCOUTS South Africa
  • The Full Monty Help Package (For those Scout Groups that need total Adminisrative assistance)
    • Provides complete and full administration of your Scout Group on Scouts.Digital
    • This is for Scout Groups that do not want only minimal information on Scouts.Digital and require a complete administrative function (We manage EVERYTHING)
    • This provides the highest level of administration of your Scout Group on Scouts.Digital, right down to booking of training and generation of annual invoices
What if I only want to purchase a Help Package for my Meerkats / Cubs / Scouts / Rovers and not the other branches in my Group
This is quite simple if you purchase an Initial Capture Help Package. Only include the details of the Adult Leaders, Parents and Youth Members in the spreadsheet you send us for the Branch you would like us to capture. (There are different Tabs for Adult Leaders, Parents, Meerkats, Cubs, Scouts & Rovers in the spreadsheet we will send you once you purchase the service)
If you purchase a Basic Management Help Package or Full Monty Help Package, the Help Package includes management of all Branches for your Scout Group.
It's much simpler, easier to understand and quicker for Scouts.Digital to administer this way.
Does my Scout Group still have access to Scouts.Digital if we purchase one of the Help Packages?
Absolutely, YES. Adult Leaders, Parents (if captured), Scouts (if configured with an email address) and Rovers (if configured) will still have access to your Scout Group on Scouts.Digital. Purchasing a Help Package from Scouts.Digital will not change this.
What happens when things are not captured correctly?
Scouts.Digital will always capture information provided by you accurately and efficiently. However, we do understand that, sometimes, some things may go awry. If this happens once you have provided us with this information, simply get hold of us on help-package-support@scouts.digital and we will rectify the information captured.
If we purchase a Management Help Package for the first year, will we be forced to purchase it for years to come?
Absolutely NOT. Each management Help Package lasts for one full year from the date that you purchase it (Last day of the next month in next year). It's your choice to purchase it for further years. We will be in touch with you at around month 10 of your contract to check if you still require the Management Service. It is your choice to continue with the service after the year is up.
