Getting Onto Scouts.Digital

It's quick, it's simple & it's really very easy indeed

Scouts.Digital was appointed as the national membership database for SCOUTS South Africa in September 2017. This means that every Scout Group, District or Region in South Africa has free access to Scouts.Digital in order to manage and maintain their membership database.

Getting yourself onto Scouts.Digital is quite simple. Your access is created by a SCOUTS South Africa Member that is higher up in the Management Stream than you are. Read below for details of how this works.

National Team Members

National Team Members can only be added to Scouts.Digital by a Scouts.Digital National Administrator. At the moment, the following 2 Members have access to do this:

  • Andrew Tanner (In the role of a Scouts.Digital National Administrator)
  • Joy Hutchinson (In the role of a Scouts.Digital National Administrator)

If you hold a National Role in SCOUTS South Africa, please contact one of these 2 Members and they will be able to assist in getting you onto Scouts.Digital. Please remember that they will require some information from you in order to add you to Scouts.Digital

Regional Team Members

Regional Team Members can be added to Scouts.Digital by a Regional Commissioner, Deputy Regional Commissioners or Scouts.Digital Regional Coordinators in the Region that they operate in.

At the moment, every South African Regional Commissioner is on Scouts.Digital. Please get in touch with your Regional Commissioner if you hold a Regional Role. Alternatively, please get hold of a Scouts.Digital National Administrator (Please only use this as an absolute last resort). Please remember that they will require some information from you in order to add you to Scouts.Digital

District Team Members

District Commissioners can be added to Scouts.Digital by a Regional Commissioner, Deputy Regional Commissioners or Scouts.Digital Regional Coordinators

At the moment, not every District Commissioner is on Scouts.Digital. If your District Commissioner is not on Scouts.Digital, please get in touch with your Regional Commissioner. Alternatively, please get hold of a Scouts.Digital Regional Coordinator in your Region. Please remember that they will require some information from you in order to add you to Scouts.Digital

Group Adult Leaders

Scout Group Leaders and Assistant Scout Group Leaders can be added to Scouts.Digital by a District Commissioner, Regional Commissioner, Deputy Regional Commissioner or Scouts.Digital Regional Coordinator

At the moment, not every District Commissioner is on Scouts.Digital. If your District Commissioner is not on Scouts.Digital, please get in touch with your Regional Commissioner. Alternatively, please get hold of a Scouts.Digital Regional Coordinator in your Region. Please remember that they will require some information from you in order to add you to Scouts.Digital

Once your Scout Group Leader / Assistant Scout Group Leader is on Scouts.Digital, they can add Group Adult Leaders to their Group:

  • Rover Scouters & Assistant Rover Scouters
  • Troop Scouters & Assistant Troop Scouters
  • Pack Scouters & Assistant Pack Scouters
  • Den Scouters & Assistant Den Scouters
  • Parent Helpers & Scout Instructors

Please remember that they will require some information from you in order to add you to Scouts.Digital

Parents (Only in Groups)

Parents (in a Scout Group) can only can only be added to Scouts.Digital by Group Adult Leaders

District Teams, Regional Teams or National Teams do not have access to any Parent information. Only Adult Leaders in the Group that the Parent has been added to have access to that Parent's information

This means that Scout Group Leaders, Assistant Scout Group Leaders, Rover Scouters, Assistant Rover Scouters, Troop Scouters, Assistant Troop Scouters, Pack Scouters, Assistant Pack Scouters, Den Scouters or Assistant Den Scouters can add any Parent to their Group on Scouts.Digital

The following minimum level of information is required to add a Parent:

  • Their first name
  • Their surname
  • Their Physical Address
  • Their Phone Number
  • Their Email Address
  • All other information is not required and not needed for Scouts.Digital to function as planned

This also means that Scout Group Leaders, Assistant Scout Group Leaders, Rover Scouters, Assistant Rover Scouters, Troop Scouters, Assistant Troop Scouters, Pack Scouters, Assistant Pack Scouters, Den Scouters or Assistant Den Scouters can edit the details of any Parent associated to their Group on Scouts.Digital

Meerkats, Cubs, Scouts & Rovers

Meerkats, Cubs, Scouts and Rovers can only be added to Scouts.Digital by Group Adult Leaders

District Teams, Regional Teams or National Teams do not have access to Youth Members personal information

This means that Scout Group Leaders, Assistant Scout Group Leaders, Rover Scouters, Assistant Rover Scouters, Troop Scouters, Assistant Troop Scouters, Pack Scouters, Assistant Pack Scouters, Den Scouters or Assistant Den Scouters can add any Youth Member to their Group on Scouts.Digital

The following minimum level of personal information is required to add a Youth Member:

  • Their first name
  • Their surname
  • Their Date of Birth
  • All other personal information is not required and not needed for Scouts.Digital to function as planned

This also means that Scout Group Leaders, Assistant Scout Group Leaders, Rover Scouters, Assistant Rover Scouters, Troop Scouters, Assistant Troop Scouters, Pack Scouters, Assistant Pack Scouters, Den Scouters or Assistant Den Scouters can edit the details of any Youth Member associated to their Group on Scouts.Digital
